Harbourline Learning Sdn. Bhd. ("Harbourline", "we", "us") operates the website petsmith.help and the Harbourline English Academy in George Town, Penang. This policy explains what personal data we collect, why we collect it, and the choices you have. We process personal data in accordance with the Malaysian Personal Data Protection Act 2010 (PDPA).
1. Data we collect
We collect only what we need to teach you well and run the academy:
- Enrolment details — name, email address, phone number, course preference and any notes you send via our enrolment form.
- Learner records — placement results, attendance, milestone reviews and certificates issued, kept for enrolled students.
- Guardian details — for Young Learners, the enrolling parent or guardian's contact information. We never collect data directly from children.
- Technical data — basic server logs (IP address, browser type, pages visited) and the cookies described in our Cookie Policy.
2. How we use it
Your data is used to respond to enquiries, schedule trial lessons, deliver and record classes, track learner progress, issue certificates, process payments and meet our legal obligations. If you opt in, we may occasionally email you about new course intakes. Every such email includes an unsubscribe link, and unsubscribing takes effect immediately.
3. Lesson recordings
Group lessons are recorded so enrolled students can review them. Recordings are available only to members of that class and their tutor, are stored on access-controlled systems, and are deleted no later than ninety days after the course ends. If you would prefer not to appear on camera in an online class, you may keep your camera off; tell your tutor and we will accommodate you.
4. Sharing
We do not sell, rent or trade personal data. We share it only with service providers who help us operate — our hosting provider, our video-lesson platform and our payment processor — each bound by contract to use it solely on our instructions, or where disclosure is required by Malaysian law.
5. Storage and security
Data is stored on secured servers with access limited to staff who need it for their role. Paper enrolment forms are digitised and shredded. We retain learner records for seven years after your last course to satisfy accounting and certification requirements, then delete them.
6. Your rights
Under the PDPA you may request access to the personal data we hold about you, ask us to correct it, or withdraw consent to its processing (which may mean we can no longer provide certain services). 7. Changes to this policy
If we change this policy in any material way, we will post the revised version here with a new revision date and, for enrolled students, notify you by email before the change takes effect.
